Cancelling or changing your appointment with us, refunds and cancellation fees 

We know from time to time life crops up and makes us change our plans, sometimes at short notice, so we've put together some simple terms and conditions so you can clearly understand our policy for cancelling appointments.  

Cancellation Fees

Due to so many patients booking, but failing to arrive for their appointments over many years, in 2020 we introduced a pre-payment system and simple cancellation fee policy. This means that payment is taken for your appointment in advance when you book for all new patient, podiatric surgeon, minor surgery and pedicure appointments.  

Please remember, the last thing we want to do is charge you a cancellation fee, but this does mean that you need to give us at least 24 hours notice of cancelling or amending your appointment with any of our practitioners.  You can do this by calling us on 01394 383 495 or by emailing us at info@meltonpodiatry.com 

Terms & Conditions

The following terms apply to all appointments made at this practice with our own or associate practitioners. At least 24 hours notice is required if you need to cancel your appointment, otherwise a late cancellation fee will be applied.

Cancellation or change of appointment with less than 24 hours notice will incur a charge of 100% of the appointment cost. If you fail to attend your appointment you will be charged the full cost of the appointment fee. A letter will be sent advising you of this fee and the fee will be payable before further appointments can be booked.

As we are unable to judge reasons for change, cancellation or non-arrival for your appointment, patients are advised that no exceptions to the above conditions will be made and that any booking made with the Practice (verbal or written) forms a binding contract.

Your right to cancel

It is your right to cancel your appointment if you are unable to attend or feel that you no longer require your appointment. Advance cancellations or changes to your appointment more than 24 hours in advance incur no fee whatsoever and our team will be pleased to find a more suitable date for you to visit us instead.

How to cancel your appointment

Telephone:

You can telephone the Practice at any time of day or night.  If you call during our normal Opening hours our reception team will cancel the appointment for you. Outside of our normal opening hours our answerphone is also on 24/7 and you will need to state your name, appointment date and time and that you wish to cancel the appointment.

E-mail:

As an alternative, or on days that we are closed, patients may cancel by e-mailing info@meltonpodiatry.com stating "Cancellation" in the subject box and including their full name, appointment date and time of the appointment to be cancelled in the main body of the e-mail.

Fees & Refunds

Cancellation Fees: In the event that you fail to attend, change or cancel your appointment with less than 24 hours notice you will be charged the full appointment fee.  A letter will be sent advising you that you have been charged a cancellation fee and if you paid in advance, your appointment fee will not be refunded to you. If you re-book another appointment at the Practice the additional fee for that appointment will be taken at the time of booking.

Refunds: As a new patient you will have paid in advance either over the telephone or in person when booking your appointment.  All refunds will be paid by direct bank transfer from our account to yours within 5 days of a refund being due. You will need to speak with us by telephone or e-mail to advise of your banking details as these are not held by the Practice so that we are able to issue your refund.

Account Credit:

If you change or amend your appointment more than 24 hours in advance to a different day the original fee paid will be held as credit on your account.
